Cancellation Policy

Client Responsibility:

  • Clients are responsible for ensuring they have all necessary documents, identification, and any required witnesses ready at the time and location of the appointment.

  • To provide accurate information when booking and to notify us promptly of any changes or issues.

  • Respectful and Professional Behavior: Inappropriate behavior, such as offensive language, threats, or harassment, will not be tolerated and will result in termination of services.

Safety and Meeting Locations:

  • All meeting locations must be in public places and during the location’s hours of operation.

  • Sealed by Sam reserves the right to change an appointment’s meeting location for any reason. Notice of this change will be given as far in advance as possible, and the new meeting location’s address will be sent via email.

Advance Payment:

  • To secure a notary appointment, full payment is required at the time of booking.

  • Notary fees are always refundable before notarization, after the document(s) have been notarized notary fees are no longer refundable. * Travel fees are only refundable if an appointment is rescheduled or cancelled before the 2-hour cut off time.

Rescheduling or Cancelling Appointments:

  • Appointments can be rescheduled or cancelled at least 2 hours prior to the appointment’s start time using the cancel/change button in the confirmation email sent after booking an appointment.

  • No additional fees will be charged for appointments rescheduled or cancelled 2 hours prior, and full refunds will be available.

Late Rescheduling or Cancellation:

  • Important: Please use this option only in cases of genuine emergencies or unforeseen circumstances. Ample time is provided for appointments to be rescheduled or cancelled.

  • Appointments rescheduled after the 2-hour cut off time will incur a new travel fee.

  • Appointments cancelled after the 2-hour cut off time will receive a partial refund, which will only be the $10.00 per document notarized portion of the price at purchase. Travel fees will not be refunded. Refunds will be processed by us within 48 hours of the cancelled appointment.

  • Appointments can be rescheduled or cancelled late by emailing us at modify@sealedbysam.com

    • To help us assist you, please use the same email address you used to book the appointment and tell us if you are rescheduling or cancelling the appointment.

Late Arrival and No-Show:

  • We understand that life happens, and unforeseen circumstances can arise right when you’re supposed to be having a meeting. If that is the case, please send an email as soon as you can to urgent@sealedbysam.com

    • As stated before, please use the same email address you used to book the appointment and if you would like the appointment to be rescheduled or cancelled.

  • Important: If a client does not arrive within 20 minutes of the agreed-upon meeting time, even if they inform us the appointment will need to be rescheduled. A typical notary appointment lasts about 30 minutes, so being 20 minutes late means it's already over halfway done. Therefore, we will need to reschedule due to other possible commitments.

    • Any appointments that are rescheduled or cancelled as a result will be considered late and will follow the same refund policies.

  • If someone doesn’t arrive within 20 minutes of the appointment’s start time and does not inform us as to why in any way within 24 hours of the appointment, they will be considered a “No Show.” This will result in the client being blocked from any future services with us.

    • Only partial refunds will given for No Shows.

Rescheduling by Sealed by Sam:

  • If we need to reschedule an appointment due to extenuating circumstances or emergencies, no additional fees will be charged, and full refunds will be available.

  • Notice of rescheduling will be given as far in advance as possible.

Unable to Proceed:

  • If a notarization cannot be completed due to South Dakota notary laws or guidelines prohibiting it, the appointment will need to be rescheduled or cancelled.

    • Some reasons this may happen include but are not limited to:

      • Lack of proper identification.

      • Incomplete documents.

      • Witnesses not present when required.

      • Lack of satisfactory evidence for signing in a representative capacity.

  • Appointments rescheduled due to this will be considered late and will incur a new travel fee.

  • Appointments cancelled due to this will be considered late and will only receive partial refunds.

Errors:

  • If an error is made by us when notarizing a document, we will do everything we can to correct the mistake. An error includes any issue with the notary certificate that would cause a document to be rejected by the recipient.

  • Please contact us as soon as possible if an error is found by emailing us at support@sealedbysam.com

    • Full refunds for errors made on our part will be available, as long as proof of the rejection is provided.

    • We will not give refunds for issues with documents that do not relate to the notary services, the notarial act or the notary certificate.

Refund Processing:

  • Refunds will be processed by Sealed by Sam within 48 hours of the appointment.

  • After we issue a refund, it may take 2-7 business days to be sent to the issuing bank, and an additional 2-7 business days for the bank to process the refund.
